President
Responsibilities:
- Call and lead board meetings three to four times per year.
- Function as meet manager for the annual UBC Masters Swim Meet.
- Participate in budgetary planning with Treasurer.
- Liaise with coaches and members regarding day to day operations at the pool.
- Liaise with barristers to fulfill legal obligations of NPO.
- Liaise with pool management to arrange swim club pool space for practise time.
- Act as a mediator for any conflicts that arise.
Vice President
Responsibilities:
- Attend board meetings.
- Update board of wait list status at each board meeting.
- Maintain wait list (add people to wait list, contact them when a spot is available).
- Send new members registration forms, provide them with general information regarding the club.
- Tend to emails from club website regarding wait list and other club inquiries.
Registrar
Responsibilities:
- Attend board meetings.
- Update board of registration status at each board meeting.
- Handle yearly registration of returning and new members.
- Register members with MSABC and send membership payments to MSABC.
- Maintain membership database of mailing and email addresses, and member status.
- Send updates of membership database as needed to board members.
- Liaise with other board members regarding issues pertaining to the membership and new registrations.
Secretary
Responsibilities:
- Attend board meetings.
- Take minutes of meetings.
- Provide minutes and other club-related information to Webmaster to update.
Treasurer
Responsibilities:
- Attend board meetings.
- Update board of financial status at each board meeting.
- Bookkeeping of incomes and payments utilising accounting software.
- Processing all payments and refunds.
- Bank deposits.
- Bank reconciliation and managing investment of contingency fund.
- Participate in budgetary planning with President.
